Temporary Cataloging Process Plan
All cataloging will be processed electronically using the ISBNs/UPCs to
orders@pls-net.org process until normal PLS delivery resumes. No items can be sent to/from PLSHQ .
Cataloging staff at PLSHQ will process record requests as quickly as possible. An email will be sent to you once the search/edit/load new records process has been completed.
To be equitable for all libraries, a temporary submission schedule has been created to help manage the cataloging backlog. Days have been assigned to each library according to the expected volume of record requests from each library. Each library will have the opportunity to request records twice a week during this initial reopening period (Monday/Wednesday or Tuesday/Thursday). Fridays are reserved for PLS cataloging staff to catch up on any remaining requests.
Through Friday, July 3rd library staff will submit ISBNs/UPCs to
orders@pls-net.org according to the temporary schedule (page 2). During this initial reopening period, library holdings staff are asked to limit ISBNs/UPCs to no more than 25 per email message. Library holdings staff may submit multiple messages to the orders address on their scheduled days.
All libraries may resume submitting electronic cataloging requests any day of the week beginning
Monday, July 6th unless otherwise notified.
Library holdings staff are strongly encouraged to use the Original Catalog Record Request form found in DOCS for any items not given a catalog record after completing the submission of ISBNs/UPCs to orders:
https://docs.owwl.org/Evergreen/CatalogRequestOriginalRecordForm
Once regular delivery resumes, items may be sent to PLSHQ. These items will:
- be held in quarantine for the recommended period of time before processing
- be cataloged in the order in which they are received
- be returned via PLS delivery
Returned items should not be processed by your library until any recommended quarantine period has passed.
Important points:
- Cataloging volume is going to be much higher due to backlog of submissions
- Cataloging requests will take longer to process during the initial reopening phase
- Submitting electronic requests reduces physical contact between your items and other staff
- Library holdings staff will need time to process their backlog of items
If you have questions, concerns, or comments about this temporary cataloging process, please contact Kathryn Riedener (
kriedener@pls-net.org).
Thank you for your continued commitment to provide outstanding library service during this challenging time.
