Basic

Scan items in Check In to clear the circulation from a patron's account or to process an item status update.

Check In Modifiers

Checkin Modifiers can be used to automate certain check in or item processing behaviors. When a Checkin Modifier is selected, the name will be displayed in a pink bar below the Checkin Items label. Once a checkin modifier is selected, it will remain selected until it is unchecked, there is no save button.

Ignore Pre-cataloged items

Supresses the Alert message: This item needs to be routed to cataloging. Item status changes to Cataloging silently.

Supress Holds and Transits

Supresses the Hold Slip and Transit Slip pop-ups. Items are put into transit or holds made available silently.

Amnesty Mode

Amnesty Mode automatically voids overdue balances on the circulation transaction.

Auto-print Hold and Transit Slips

Supresses the Hold Slip and Transit Slip pop-ups and prints the slip. Items are put into transit or holds made available.

Clear Holds Shelf

Use when pulling shelf expired (on the hold shelf more than 7 days) items from the Hold Shelf. This will cancel the hold, clear the item from the Holds Shelf list, and put the item intransit to its owning library or to fill the next hold.

Retarget local Holds and Retarget All Statuses

Check in is used after adding new copies to put the copy into circulation and to update hold records for newly added copies. The circulation modifiers Retarget Local Holds and Retarget All Statuses should be used in tandem to force the system to check for holds that can be fulfilled by the copy being scanned.

The retarget modifiers can be set for all checkin screens on all workstations, or only on workstations used by holdings maintenance staff.

Capture Local Holds as Transit

Hold for pick up at the checkin library is captured, but not made active, and the hold status is In Transit. Transit source and transit destination are the same.

Manual Floating Active

This is used to manage "floating collections" in which items do not have set circulation libraries, but are shelved wherever they are checked in.

Update Inventory

There are two fields in the copy record Inventory Date and Inventory Workstation. When an item is scanned in Checkin with the Update Inventory checkin modifier enable, the scan date and workstation will be recorded in those fields.

Back-dated Check In

To back-date the check in date, such as for book drop materials or following an emergency closure, change the Effective Date before scanning items. Manually type the effective date or use the calendar gadget. Once the date is changed, a "Backdated check In [m/dd/yyyy]" statement will be added as a pink bar across the top of the screen.

To clear the back date, refresh the Check In screen, or close the tab.

Backdate Post-Check In

If items have already been scanned using the current date, but should have been backdated, the effective date can be retroactively changed.
  1. Select the item(s) from the Check In List
  2. Click Actions
  3. Click Backdate Post-Checkin
  4. In the Backdate Already Checked-In circulations dialog, set the effective date
    • Manually type the correct date or use the calendar gadget
  5. Click Submit
After submitting the backdate, the screen will return to the original check in list, and will not reflect the back date. If desired, to verify that the item has been backdated, click the item barcode to open the Item Status Detailed View of the item record. In the Quick summary display, you can see both the Checkin Time - the backdate, and the Checkin Scan Time - the actual date the item was handled.

Check In Hold Items

For pick up at your library

When an item will fill a hold for pickup at your library, a Hold Slip pop-up will open. The alert includes item, hold, and patron information. Click Print to trigger the print version of the Hold Slip.


ALERT! Be sure to address the hold slip - either print or close the pop-up - before scanning a new item. If the pop-up is not closed before a new item is scanned, the auto-enter function of the scanner will trigger the slip print instead of entering the barcode scanned.


ALERT! If you library always prints hold and transit slips, you can use the Auto-Print Hold and Transit Slip check in modifier.

For transit to another library

When an item will fill a hold for pickup at another library, a Transit Slip pop-up will open. The alert includes the destination library, item, and hold patron information. Click Print to trigger the print version of the Hold Transit Slip.


ALERT! Be sure to address the transit slip slip - either print or close the pop-up - before scanning a new item. If the pop-up is not closed before a new item is scanned, the auto-enter function of the scanner will trigger the slip print instead of entering the barcode scanned.


ALERT! If you library always prints hold and transit slips, you can use the Auto-Print Hold and Transit Slip check in modifier.

Check In Transit Items

When items are to be routed to their owning library, a Transit Slip will open. Either print a transit slip, or record the transit destination library on a routing slip.

Copy Alert

Copy Status Lost

When a lost item bill has not been paid, or has been partially paid, the copy status remains Lost. If a Lost item is returned, force the action the return the item to circulation. A refund will not be applied to the patron's account.

Copy Status Lost and Paid

When a lost item bill has been paid in full, the copy status changes to "Lost and paid" and the circulation transaction has been cleared from the patron account. If a Lost and Paid item is returned, library staff cannot check it in. They must route it to holdings maintenance staff who can manually edit the item record and change the Lost and Paid copy status to Available.
